Feed Safety Database Newsletter 2012 nr. 01

Intended for: GMP+ certified companies and certification bodies

This is the first Feed Safety Database newsletter of 2012. We have immediately made a good start in the new year with, amongst others, an improved version of the FSD. Furthermore we like to inform you in this newsletter on the developments regarding the Database Undesirable Substances (new DOS). And we have included new fact sheets and new feed materials in the FSD.

The Feed Safety Database has been improved!
Currently one and a half year has passed since the launching of FSD in 2010, and we have gained a lot of new experiences. We now receive a lot of positive reactions to the Feed Safety Database with all its information and possibilities. A number of functionalities have been reported by users for improvement. And we have taken due note of this. The following functionalities have been renewed/improved:

  • The password can be remembered. If this is not the case with you, then you can activate this option via Internet options, where you subsequently select Content, Settings, AutoComplete and mark the two checkmarks boxes at the bottom.
  • The product list is now arranged in alphabetical order instead of in codes. This makes it easier to search for a product!
The search for risk assessments has been changed. Point of departure is now formed by the feed materials, see the figure below:

  • Risk as eng

You can still search with (part of) the product name and (part of) the risk assessment. You can view the feed materials which match your search criteria. If you then click ‘risk assessments', you are directed to the next screen where you can then view all the information of the risk assessment: you can consult the risk assessment in an interactive manner (by means of the ‘eye'), you can request the pdf, the additional substances and also make your own analysis.

We expect that the matters listed above will contribute to an even more agreeable version of the FSD. We do not  think it is impossible that you will have more suggestions for improvement in the future. You can inform us of this using the contact form. At ‘subject', click 'comments improving FSD'.
We thank you very much for your suggestions!

Status development Database Undesirable Substances (DOS)
We have previously informed you of our plans with the Database Undesirable Substances. We have also asked you to give us your opinion. This made it evident that a few matters related to the Database Undesirable Substances could well be improved. Read more on this subject in FSD newsletter 4 of 2011. Today we would like to inform you on the current status of the project and we will already show you some of our plans.

Status
After gathering the wishes expressed by you and other GMP+ participants, we also had interviews with representatives of company groups. This has taken some time, but in this way we have been able to carefully make a survey of what is desired. Because of this we can deliver a product that really meets those wishes. Furthermore, trust and safety are also important issues. Meanwhile this has resulted in a design which the IT-specialist can work with. The upcoming months they will be working on the front of the program (what you will be able to see), but also on all that happens ‘behind the scenes'. At a certain moment they will produce a trial version of the new DOS. This trial version will also be presented to you in order to see whether adjustments are required. We will further inform you on this subject in a next FDS newsletter. We plan to launch the new DOS no later then in the 4th quarter of 2012, but we are striving to be able to do this earlier.

The new DOS

The new DOS will be more than just a database. It will soon be possible to go through the complete monitoring process in DOS. Below a short listing of the possibilities:

Sample planning

Monitoring starts with making a plan. In the new DOS it will be made possible to record when a sample has to be taken, of which product and which (un)desirable substances it has to be analysed for.

 Pijl
 sample details

At the moment the planning can be made concrete, you can add the further details of the sample. For instance: lot-number, tracking & tracing data, etc. Next you can print out an analysis order and send this to the lab together with the sample.

 Pijl
 analysis results

As soon as the lab has completed the analysis, they will provide the results. You can add these results to the sample details you have already entered. This can be performed by filling in a web form, reading an Excel file or let the lab send an XML-report*.

 Pijl
 Assessment

When the results have been entered you can immediately see whether the product meets the standard. It entails testing to the action limit and rejection limit of GMP+ BA1 Product standards. An opportunity to test against your own standards will also be provided

 Pijl
 Share

The last stage is the sharing of your results. For instance with a monitoring group of which you are part or with a customer. You are at the steering wheel yourself so you can decide which results you share with whom and which details of this result you share.

 Pijl
 make reports

When you have carried out your plan and received shared additional analysis then you can make a report. At a single glance you can see the results of your own monitoring program and how you score compared to GMP+ certified companies.

* Attention!
Currently only a limited number of labs use the possibility of sending analysis results per XML file. We would like to contact laboratories to see what the possibilities are regarding the facilitation of sending analysis results per XML. Are you a laboratory and are you interested, then we would like to hear from you!  Please send an email with contact data fsddos@gmpplus.org and we will contact you.

We would also like to bring this notification to the attention of your external laboratory. They can also enter via fsddos@gmpplus.org.

The risk assessments of the above feed materials can be found in the password-protected Login part of the FSD. After you have logged on to the FSD, you can view the risk assessments of the above feed materials.

New Fact sheets
The FSD has been supplemented with a few new (versions of) Fact sheets. The Fact sheets provide information on the hazard (undesirable substances or processing aids) and the seriousness for humans and animals. The information in the Fact sheets can be used for the performance of the company specific HACCP analysis, for example for determining the seriousness of the hazard. The fact sheets are filed in the Feed Safety Database under the button 'Fact sheets' and then select Undesirable substances' or ‘processing aids' and then you can search for the specific fact sheet(s) with the search option. The following fact sheets are included in FSD.

What can FSD mean for you?
With the new Feed Safety Database, GMP+ International offers various information sources in an interactive way. This can help you with the implementation of your company-specific HACCP system. Thus there is a search engine and from a risk assessment you can click on directly to the applicable standards. This makes it easier and more efficient for you to consult the information. For a more detailed explanation of the advantages of FSD see our  introductory film on our website (link).

Where can FSD be found?
The Feed Safety Database can be found on the homepage of
www.gmpplus.org under the Feed Safety Database button. Click on the Feed Safety Database button and then select ‘Directly to FSD'. You can now log in with your user name and password (the same as your user name and password for the login on the website www.gmpplus.org).  Should you not have access (yet) and are GMP+ certified, send an E-mail to info@gmpplus.org  Mention your company name and your GMP+ number in this E-mail.

FSD provides ease of use, a uniform source of data, linking of relevant files and efficient searching.
